n8n: definition, strengths and limits

Definition

n8n is an automation platform that lets you assemble flows visually from nodes that connect systems and pass data on. Its source is available (fair-code) and it can be self-hosted, which gives control over data and operation. Beyond ready-made nodes it allows custom code, so more demanding logic fits in the same flow, without a separate system.

Why the Term Matters

n8n stands for a pragmatic middle ground between no-code and real code. If you need simple connections, you plug them together. If you need more logic, you write a few lines in the same flow. The self-hosting option matters especially for organisations with strict data protection rules. Placing the term, you see why n8n often fits where control and flexibility should meet.

When It Is Relevant

  • Data should stay in-house, so self-hosting is wanted.
  • A flow needs some custom logic beyond standard nodes.
  • Many connections should be maintained in one place.
  • A prototype should appear fast and later grow under control.

When Not

When nobody wants to run and maintain the platform, a hosted service without your own server can be simpler. For a single simple trigger the setup is sometimes too much. And when a case is very specific and sits deep in custom software, direct development can be cleaner than a visual flow. n8n is a tool, not a partnership.

Industries That Use It

  • Agencies and service firms: bundle many client integrations in one place and run them yourself.
  • Media and publishing: connect editorial and publishing steps with custom logic.
  • Research and labs: keep data flows between measurement systems inside your own network.
  • Health IT: self-host flows with patient data to keep control over storage locations.

Typical Use Cases

  • A self-hosted flow that connects forms, database and notification.
  • A process that combines standard nodes with a small custom code step.
  • A central place where many integrations are maintained.
  • A data reconciliation that runs regularly and reports exceptions.
  • An AI step embedded into an existing flow.

Example

An agency maintains client integrations scattered across several tools. In the workshop it is checked whether a self-hosted n8n instance can bundle them, with a few code steps for special cases. In a few days a prototype for two clients appears, tested on real data. If operation proves out, more integrations follow. This describes the approach, not an asserted reduction of the tool landscape.

Service Connection

The usual entry is the AI workshop, then AI automation as a fixed package and, for operation and connections, AI implementation.

Sources

This framing describes common practice when using the n8n platform and rates it neutrally as a tool. Feature scope and licence terms can change and should be checked in the official documentation.

Frequently asked questions

What separates n8n from Make or Zapier?
n8n is fair-code licensed (source available) and can be self-hosted, which gives control over data and operation but requires an operations team. Make and Zapier are hosted services that start faster but offer less control over the storage location. The choice depends on the case.
Do you need programming skills?
Not for simple flows, which you assemble visually. As soon as custom logic or special data processing is required, small code steps help, which n8n allows in the same flow.
Is self-hosting mandatory?
No, there is also a hosted variant. Self-hosting mainly pays off when data must not leave your own network or when special control over operation is needed.
